Healthcare & Clinics

Appointment booking, reminders, triage intake and patient follow-up with human oversight.

Where the opportunity is

Clinics and healthcare providers lose capacity to the telephone: booking, rescheduling, reminders and routine questions that arrive faster than reception can answer them. The constraint is that patient-facing automation has to be careful, auditable and clear about when a human takes over.

The problem

What operators tell us

Sector-specific constraints, rather than a generic list of business problems.

  • Reception cannot answer every call at peak, and patients who cannot get through do not always call back.
  • No-shows waste clinical capacity that was already scarce.
  • Routine questions about preparation, documents and directions consume clinical staff time.
  • Patient records, bookings and communication live in separate systems.
Proposed workflows

What we would actually build

Concrete workflows for this sector. Each is a bounded job with a measurable result.

01

Appointment booking and rescheduling

A voice or chat agent checks real availability, books into the practice system, confirms the details back to the patient and sends the confirmation.

02

Reminder and confirmation calls

Outbound reminders that let the patient confirm, cancel or rebook on the call, freeing the slot early enough to reuse it.

03

Routine enquiry handling

Preparation instructions, opening hours, documents to bring and directions answered from approved practice content.

04

Intake information capture

Structured pre-appointment information collected in advance and attached to the booking for the clinician to review.

05

Document processing

Referral letters and submitted forms read, validated for completeness and filed against the correct patient record.

Benefits

What changes operationally

Realistic operational changes. We measure the specific numbers for your business rather than quoting industry averages.

  • Calls answered at peak and outside opening hours without adding reception shifts
  • Slots released earlier when a patient cancels on a reminder call
  • Clinical staff interrupted less often for non-clinical questions
  • Consistent, structured intake information instead of free-text notes

Regulatory and scope note: Healthcare work is subject to patient data protection rules that vary by jurisdiction, and clinical triage or advice is explicitly out of scope for automation in our builds. We scope the data boundary, retention, consent and the human handover points with you and your compliance advisers before any patient-facing deployment.

Questions

Healthcare & Clinics — FAQs

Will an agent give medical advice?

No. We scope clinical triage and advice out of automated handling entirely. Agents handle booking, logistics, reminders and information already approved for patients, and transfer anything clinical to a person.

How is patient data protected?

The data boundary is designed first: what is sent to a model provider, what stays inside your infrastructure, how long anything is retained and who can access it. Regional or self-hosted deployment is available where rules require it.

Can it work with our practice management system?

Where a supported API exists, yes, for availability, booking and record updates. Where it does not, we assess the available extension points and tell you honestly what is achievable.
