Workflow Automation

Multi-system processes that complete without a person carrying work between steps.

What this is

We map the real process, including the exceptions people handle informally, decide which steps should be deterministic code and which need judgement, then orchestrate the whole thing with durable state, retries and exception routing.

The problem

What this solves

If more than one of these is familiar, there is usually a case worth scoping.

  • A process touches five systems and a person moves data between each.
  • Existing automation covers the happy path and dumps the rest on a human.
  • Handoffs stall silently until a customer complains.
  • There is no record of why a case took the path it did.
How it works

The shape of the build

Indicative. The final design follows your systems, data and constraints.

Rule-based steps stay deterministic; the model handles only what rules cannot express.
  1. Map it

The actual process documented, including undocumented exception handling.

  2. Draw the boundary

Each step assigned: deterministic code, model judgement, or human.

  3. Orchestrate

Durable state, queues, retries and timeouts so it survives failure.

  4. Integrate

Idempotent reads and writes across the systems involved.

  5. Route exceptions

Cases outside tolerance sent to the right owner with full context.

Scope

What is included

Deliverables you receive, in your own infrastructure and repositories.

  • End-to-end process map with explicit automation boundaries
  • Orchestration layer with durable state, retries and compensation
  • Integrations into ERP, CRM, finance and operations systems
  • Exception queues with the context needed to decide
  • Complete audit trail of every step and system write
  • Operational dashboard with stall detection and alerting
Outcomes

What changes once it is live

Operational changes you should expect. We measure the specific numbers for your business rather than quoting generic figures.

  • Processes that finish without someone chasing each handoff
  • Stalled cases visible in minutes rather than days
  • A traceable record of every case and why it was routed
  • Retries that cannot duplicate an order or a payment
Delivery

How we run the engagement

Our approach

Discovery

Process walkthroughs, data review, constraints and a written scope you sign off before build.

Architecture

Data model, integration boundaries, hosting and the security model, agreed up front.

Proof of concept

A narrow build on your real data against an agreed quality bar, so the go-ahead is evidence-based.

Development

Two-week increments, each ending in a working deployment and a review.

Testing

Automated coverage on critical paths, evaluation sets for AI behaviour, acceptance testing with your users.

Deployment

Staged rollout into your infrastructure with monitoring and a tested rollback path.

Monitoring & support

Quality, cost and latency tracking after launch, with handover documentation or an ongoing retainer.

Questions

Workflow Automation — FAQs

Why not a no-code tool?

For simple linear flows they are a reasonable choice and we will say so. Custom orchestration earns its cost when you need durable state, real error handling and an audit trail.

How much can be automated?

The rule-based majority, well, with the genuine exceptions routed cleanly. Chasing full automation usually costs more than it returns.

What if a step fails halfway?

State is retained and the case either retries, compensates, or pauses in a known position for a human. It is never left half-applied.
